AU No-Gap & Smile Provider

Smile is excited to announce that Australian Unity (AU) will be partnering with Smile from March 3rd, 2016 and there are many more health fund partners just around the corner!

Smile understands that your practice is already an Australian Unity No-Gap provider and that you have been contacted direct by Australian Unity in regards to this.

This is an incredible opportunity for your practice – very few practices are both Smile Approved providers and an Australian Unity No-Gap provider. This puts your pracice in a position which allows you to attract even more Australian Unity members, and also, very importantly, supports long term retention of your patients.

From a logistical perspective, Smile is responsible for ensuring your practice is trained up and prepared for this partnership which launches next Thursday March 3rd.

Following are the steps to complete. Pease feel free to phone 1300 238 648 and ask for Georgi, the National Provider Manager, if you require any further clarification.

Who Should Complete This Checklist?

The Practice Manager or the person responsible for the day-to-day management of the practice.

Let's Get Started! Checklist due 1st March

Once you have completed each item below, your practice will be ready to continue receiving Australian Unity patients under the new partnership arrangement discussed with your practice owner.

  1. Your practice will be posted 2 items to arrive week starting 29th February, 2016:
    1. A new Smile Guide. It will contain an Australian Unity logo to remind your team of this partnership. When this arrives, please place this at reception
    2. window and reception stickers. Australian Unity members will be looking for this.
    3. Please advise Smile if these have not arrived by 7th March, 2016

  2. Approved providers and provider numbers listed with Smile are up to date.
  3. Dentists NOT approved by Smile will no longer be able to see Australian Unity patients.

    1. Please check your providers are up to date with Smile so there are no confusions with appointment bookings or upset patients.
    2. Please also ensure provider numbers showing are correct. If there is an error, health fund partner members will not receive their benefit in your practice.


    Log into your provider area from using the main reception email address and the password set previously (Click reset if you are not sure of the password.)>

    Click on the dentist tab > And add or remove dentists.

    While you are logged in, we strongly encourage you to:
    1. Review the practice details, opening hours and treatments offered and update these if necessary. (They appear on your website listing at
    2. Click on 'Promotional Resources' and order Smile brochures here if you are running low.
    3. Under 'Promotional resources', copy the code noted for the Smile logo and provide to your web team to include on the front page of your website. Members will be looking for this.

  4. Your No-Gap Fee Schedule is updated to reflect the new arrangement
  5. From 3rd March, Australian Unity patients in your practice will receive a combination of Australian Unity preventative item fees and Smile Fees.


    If you have an Australian Unity fee schedule set up in your practice software, your practice will need to update this. This new fee schedule should now be:

    1. A copy of your correct Smile Fee schedule , plus
    2. Manual edits to be made to each Australian Unity No-Gap preventative item number to reflect the AU fee for this item number.

    (see Fee Checker information just below so your practice is confident the Smile Fees are correct before copying over to the new Australian Unity)


    Smile will provide you with an accurate price list of the correct fee to charge for every single item number. Simply email through these 3 files and Smile will respond with a price list. Your practices standard fees + Your Smile Fees + Australian Unity Fees. (Spreadsheet files are preferable)


    Before copying over your Smile Fees, check they are all correct (or if manual - on your price list). Best not to assume they are, as even 1 incorrect fee can cause huge time wastage and errors can lead to practice replacement. Smile has made this easy for you so follow the steps below.

    Log into your provider area from using the main reception email address and the password set previously (Click reset if you are not sure of the password.)>

    Click on the 'Smile Fees' page >

    Click on 'Check my Fees' button and follow the process.

    You will receive a quick response with any errors to correct in your Smile Fees and an accurate price list for your practice.

  6. All current and new Australian Unity members are assigned your new Australian Unity Fee Schedule.
  7. Please use the functionality available in your practice software to make this so streamlined for your reception team that all Australian Unity members receive the Australian Unity fee schedule.

    1. Assign the Australian Unity fee schedule to all AU members AND/OR
    2. Set up a pop up note to appear OR
    3. Call your practice software company and ask them how best you can ensure that all current AU members are automatically assigned the AU schedule.

    Failing to complete this step often result in errors which will lead to huge time wastage and replacement of your practice.
    If you do not have practice software, your team will need to be rigorously reminded of the partnerships to avoid errors.

  8. All team members involved in quoting or charging patients are trained in how to assist AU members by 1st March, 2016.
  9. Training should take very little of your time. It can be as simple as these things

    1. Draw their attention to the Smile Guide at reception AND
    2. b.Draw their attention to the new Australian Unity Fee schedule set up in your practice software (or price list).

Do you have Australian Unity patients who have started treatment on treatment plans BEFORE 26th February, 2016?

The agreed fees can be honoured and do not need to be changed to Smile Fees. To avoid these invoices being flagged as errors, please provide Smile with the following via email.([email protected])

  2. Date treatment on treatment plan started
  3. Estimated completion date
